Pre-survey checklist

To send a survey, you are required to first ensure that the following tasks have been completed:

  1. Choose a template and finalize your questions
  2. Look at the customization, both from a branding as well as an aesthetic perspective
  3. Import contacts and create the segment/list you need to send the survey
  4. Pick the collector through which the survey should be routed
  5. Configure the collector, and select the survey frequency

Sending the survey

After completing these tasks you can send your survey. To do so:

1. Choose the audience you would like to send the survey to. To learn more about selecting your target audience, read this article.

Note:

  • If the survey frequency or type is set to "Transactional", you don't need to pick an audience. Since the transactional event happens in a different product and the trigger request is ad-hoc, you don't have to pick an audience.
  • For Web App Embed collectors only: If you select the frequency as One Time or Recurring, and select to send the survey to a specific 'List' of contacts. You can select to render the survey only for the contacts in the specified list or to append the new contact to the list before rendering.

2. Move on to schedule the survey as per your preference. You can set a trigger, schedule reminders, and also choose to disable the survey link after a certain period to avoid collecting responses.

What happens if a survey is incomplete, or has been answered only partially?

An incomplete response to a survey or a partially answered survey can be marked as a partially completed response. Admins can configure the timeline of this consideration ranging from a few seconds to hours, days, weeks, and months. To understand more about this feature, read this article.

Admins can enable or disable "recording incomplete responses". If enabled, all the responses will be marked and considered partial - complete responses, as per the specified time.

The default time enabled for this configuration is 24 hours.

If disabled, partial responses will not be captured at all as complete responses.

3. Click on the 'Activate' button at the top right corner.

4. You can choose to send it right away or choose to schedule it for a later timeline.  Finally, click on 'Activate' to send your survey!

Advanced scheduling settings

Alternatively, you also have the option of configuring 'Advanced Schedule Settings' while creating and setting up your survey. This will help you further build a customized, more targeted approach to your survey initiatives.

To do so, you can:

1. Click on 'Show advanced settings'.

2. Freshsurvey users can now collect anonymous responses from their audience. All responses captured will be displayed with "Anonymous user" as the respondent. This feature is particularly great for employee engagement surveys within a team or an organization.

3. You can set a time during which the survey will be triggered. You can also limit the number of surveys sent per day and configure a response window that specifies the period until the responses are collected. This will help avoid oversending surveys to your audience.
